Please plan on arriving no later than Thursday, February 5 and departing no earlier than Saturday, February 7 at 6 p.m. As soon as you’ve made your travel arrangements please forward the information to us.

 

Airfare

Your flight costs will be reimbursed after the meeting, please keep a receipt from the airline.

 

Transportation from/to the airport in Durham:

You will be contacted individually in the coming week regarding specific details of travel to and from the airport. Duke Towers has a shuttle that will transport many of you from and to the airport. In these cases the costs will be included in your lodging and not charged to you. Those arriving or leaving when the shuttle is unavailable can take a taxi. In those circumstances you’ll have to pay for the taxi, keep the receipt, and request reimbursement. For those leaving on Saturday, we will arrange a taxi for you from NESCent. Remember to bring your luggage with you to the meeting that morning.

Other Transportation

If you are driving and would like to be reimbursed for miles, please create a Google map with the driving route and mileage indicated. This includes mileage to/from an airport.

Please keep receipts for airport parking, taxis, or airport shuttle services. Your other transportation costs will be reimbursed after the meeting.

 

Lodging

We have rooms reserved for you at Duke Towers in Durham. These are pre-paid for by our grants, you need only to check in with your name when you arrive.

It is a one mile walk from NESCent, but we will also provide transportation between the hotel and NESCent each day.  There will be a sign up sheet at the hotel front desk when you check in for rides to NESCent on Friday morning.

 

Meals

We are going to keep you busy! As a result, we will provide breakfast (8 a.m.) and lunch (12 p.m.) on Friday and Saturday at the meeting, including vegetarian and nut-free options.

On Friday, Feb. 6 we will end the day with a Happy Hour at 5 p.m. shared with resident NESCent scholars, appetizers and drinks provided. After that, the QUBES Board membership will stay at NESCent for a board meeting over dinner. The remainder of participants will find a local restaurant for dinner on their own or in groups.

On Saturday, Feb. 7 anyone that remains after the meeting ends should gather for dinner. It may be a rather large group and there are quite a few options, so please indicate what option you are most interested in on this form:http://goo.gl/forms/ibRKRHFeuz

Reimbursement

While you are at the meeting we’ll have you fill out a vendor ID form and take home a stamped envelope so that we can reimburse you for other expenses, including travel to/from your home airport, mileage if you are driving, meals en route, un-covered meals in Durham, and parking fees. Please keep receipts! We cannot provide per diem, only reimbursement for expenses documented with a receipt. To receive reimbursement for mileage, please provide a Google map with your driving route to document the number of miles.
